HR Administration Manager

HR responsibilities:

  • Providing HR-administration support and document flow covering full employee life cycle: new hires, terminations, transfers, promotions, leaves or absences, formation and updating of employees' personal files, employment contracts/addendums preparing, internal orders, keeping employment records etc.
  • Ensuring personnel record management and procedures being fully in accordance with Russian labor law
  • Maintaining and updating local databases (employees' files and Payroll data in 1C and other corporate sources)
  • Internal and external communication, liaising with service providers (outsourcing, insurance companies, etc.)
  • Supporting employees, managers, people partners, finance department and other colleagues on HR-related matters/issues
  • Assisting in interpretation, updating and implementation of HR/Internal policies

Payroll responsibilities:

  • Twice a month preparing and providing payroll data to the payroll provider (Unistaff) and uploading to the corporate payroll resource (CloudPay) (new hires, promotions, salary changes, terminations, vacations, sick leaves, bonuses, allowances, timesheets etc.)
  • Interaction with the payroll provider and corporate finance team throughout the payroll cycle, initial and final data check
  • Downloading payroll reports, certificates and other documents from the CloudPay, interaction with chief accountant
  • Communication with employees on payroll process and any payroll-related issues/requests (payslips interpretation etc.)

Office Manager responsibilities:

  • Supervision and assistance in day-to-day administrative support to the office, provided by receptionists, administrative assistants, couriers and cleaning personnel
  • Interaction with the landlord regarding everyday office running and technical maintenance (air conditioning, water supply and other systems, fire/electrical safety, parking, any repair or emergency cases)
  • Monitoring office equipment maintenance, arranging IT assistance to the employees if needed
  • Managing medical and life insurance contracts
  • Onboarding & offboarding support to the staff (equipment, introduction etc.)


  • Upper-intermediate - Advanced English
  • Proven experience in HR-management, office administration and payroll data preparation
  • Higher education
  • Strong knowledge of Labor legislation
  • MS Office, 1C proficiency


  • Full-time maternity cover contract (4-6 months)
